Here are the rules and procedures for anyone wishing to book a concert, lecture or any kind of event in the main room at CNMAT.
MAXIMUM OCCUPANCY FOR THE CNMAT MAIN ROOM IS 50 PERSONS. PLEASE DO NOT EXCEED.
Concerts and other events at CNMAT require a designated faculty member who is responsible for overall management and responsibility for the event. The faculty supervisor, with the support team, must insure that the tech and logistical needs of the performance are organized and executed in a professional manner.
The list of duties include: set-up, rehearsals, live sound, recording, musician waivers, security/house management, setting up chairs, prepping the bathroom and kitchen, running the door, clean up.
BEFORE BOOKING YOUR EVENT DATE, YOU MUST DO THE FOLLOWING:
• Have permission to hold the concert or other event from the CNMAT Director
• Be a current CNMAT keyholder or team with someone that is.
• Be a member of the Main Room Users Group or team with someone that is.
• Check your proposed event date on campus and regional calendars to prevent overlap with other locally scheduled concerts:

• All concerts event must be recorded and each participating musicians must sign an [cnmat:node/6652|Artist Waiver Form]. If recording happens in the rear studio, the recording engineer must be a member of the rear-studio users group. CNMAT concert archive repository is located on a drive connected to the rear studio.
ONCE AN EVENT IS APPROVED AND BOOKED, THE FACULTY SUPERVISOR AND HIS/HER TEAM AGREE TO DO THE FOLLOWING:
• Serve as the primary contact with the visiting artist or researcher
• Keep the CNMAT Administrative Director informed on all developments related to the event.
• Deliver all publicity and information materials to the Administrative Director ASAP (one or two month advance is best): Performer photos (72 dpi, 4" x 4") and bios, concert program info, and ticket prices (normally $10 general/$5 students and seniors).
• Create a team of support: another CNMAT keyholder, other graduate students and friends to support production.
• Designate someone to organize and prepare for the technical set-up and equipment needs in advance
• Reserve all substantial equipment on the CNMAT site equipment check-out page.
• Designate a person to run the door, collect money and run the lights.
• Designate someone to set up and take down the chairs, take up the chairs following the event.
• Obtain proper signed waiver/permissions from performers for recording.
• Deliver the signed recording waivers to the upstairs CNMAT mailbox of the Administrative Director. This should happen the same day as the event.
• Designate a member of the Rear-Studio Users Group to record the concert, or record directly from Main Room.
• Consider burning and distributing recordings to composers and performers at end of event.
• If you are hosting a post-concert reception, provide all material, set tables, clean-up completely at end of event.
• Be prepared to follow up after the event to add proper documentation (audio, video, text) for the CNMAT archives.

SECURITY:
Organizer should make sure that audience members do not roam building either before or after performance. The only restroom available to audience members is in the Main Room. Audience members should be restricted from going downstairs or upstairs and must stay in main room area.

CNMAT does not have a budget for producing events, nor for receptions. Invited visitors for courses and colloquium can sometimes obtain an honorarium. Please check with the appropriate instructor or Colloquium Director for more information.
